The Admissions Station checks in cats; assigns discharge times via Claim Checks and transports cats to the waiting area.

 

Recorder Instructions

 

The Admissions Station Record takers are responsible for processing incoming cats, checking the health of cats and assigning discharge times. There are two Check-in recorders.

 

Check-in Recorder

 

1)     DIRECT caregivers to line up at the sign-in table. Caregivers are not allowed inside the clinic.

2)     DISTRIBUTE the Caregiver Release forms with pens and clipboards. Volunteers arriving with cats must also complete these forms and include their full names and addresses.

3)     FIND the caregiver name on the Clinic Reservations list provided by the Reservations Coordinator.

4)     CHECK that all personal traps are labeled with the owner’s name.

5)     ASK the caregiver when the cat(s) ate. Note on the Registration List if the cat possibly ate within 12 hours. Do not accept cats that have food in the trap or that have eaten recently. 

6)     RECORD the color of each cat on the Caregiver Registration List.

7)     ASSIGN each caregiver a discharge time and provide a Claim Check. Volunteers’ cats and infectious cats are discharged last. Note: ALL the cats arriving with an infectious cat are sterilized after all other cats. To facilitate the discharge process, pick-up times are staggered. Fifty cats are assigned to a half hour time slot beginning at 3:30pm.

8)     FIND the two adhesive paw/trap labels correlating to the Cat Number (F8-xxxx) assigned to the cat on the Caregiver Registration List.  Use the labels in numerical order — do not skip numbers.

9)      Note any medical condition or possible complication on the paw tag, such as “CHECK EYE,” “ABCESS” or “URI” (upper respiratory infection).  Assign an appropriately labeled Medical Alert Collar to the trap handle. Give the labels and collar to your assigned Tagger. The MA Collars will be placed around the cats’ necks after they are anesthetized.

10)  ADVISE caregivers arriving after check-in ends that they must re-register for another clinic.

11)  CATS previously sterilized at OC may receive free booster vaccinations each year.  Such cats must be presented in wire traps, and checked in with the other cats.  They will receive labels numbered F8V-xxxx.

 

     12)  CHECK the traps. EACH CAT MUST BE IN AN INDIVIDUAL TRAP. Contact the Clinic Supervisor If cats arrive more than one to a trap. Cats may not be transferred into other traps on University property. 

13)  VERIFY each trap is properly closed. Zip ties are available to secure unsafe traps. Traps deemed unsafe will be labeled such and the caregiver will be asked not to use this trap in the future. Traps that are too small are considered inhumane and are discouraged.

14)  VERIFY kittens are older than 3 months. Do not accept cats less than three months old. Contact the Clinic Supervisor if there is any doubt.

15)  CHECK for a tipped left ear. Flag these cats as “Vaccinations Only.” See paw/trap labeling.

16)  NOTE the health of each cat, noting any injuries, labored breathing or runny eyes (possible URI) on the Caregiver Registration List. Set aside URI cats for isolation and injured cats for vet inspection. These cats will receive a Medical Alert Collar.

17)  NOTE the color of each cat for the Caregiver Registration List. Do not attempt to verify gender—this will be done in the clinic.

18)  REPACK the supply kit, inventorying supplies (see Supply List in the kit) at the end of admissions.

19)  RETURN the kit, forms and extra items to the Supply Coordinator.

20)  CLEAN up the station and dispose of trash.  Pick up all trash in the area, even if it is not from OC.  Move the tables inside the building, ready for Discharge.  Sweep or vacuum the floor.  Pick up any poop; mop the floor if needed.

21)  NOTIFY the supervisor of the number of cats admitted.




Tagger Instructions

            The responsibility of the tagger is to properly attach the paw/trap tag to the traps and verify trap number and cat color.

1)     Communicate the trap number and cat color to the Check-in Recorder. The Check-in Recorder will give you a paw/trap label for that specific cat.

2)     AFFIX one paw/trap label directly to the trap on top of any residual label from previous clinics; attach the second paw/trap label with masking tape to the trap — Do not cover the trap number or place any tape/sticky label to the metal trap label.  Do not peel the backing from the second label.

3)     NOTE the health of each cat, noting any injuries, labored breathing or runny eyes (possible URI) – communicate this information to your Check-in Recorder. Set aside URI cats for isolation and injured cats for vet inspection. These cats will receive a Medical Alert Collar.

4)     Label the Medical Alert Collar with appropriate information (URI, Check abcess). Place these Collars around the handle of the trap.
